For Volume Editors: Reviewing Your Page Proofs

This is your last opportunity to review your manuscript. It is important that you review your proofs very carefully.

Read the entire text very carefully and mark only typographical errors or errors of fact or meaning. As stated in your contract, you will be charged for any corrections other than typos and editorial/grammatical corrections that are the copyeditor’s or typesetter’s responsibility. UPF reserves the right not to make corrections.

How to mark corrections:

Use the Comments feature in Adobe (found under Tools) and mark your changes on the PDF. (Do not use the Edit feature; we will not see your changes, and they will not be made.) The highlighter tool is very helpful for clearly marking the text you want to change; you then write the change in the Comment box in the panel.

What to double-check:

Make sure your name and the book’s title and subtitle are correct every place they appear.

Proofread the preface and acknowledgments, if applicable. Make sure all personal names are spelled correctly. If your manuscript is a revised dissertation, please remove that information from the book.

Compare the table of contents to chapter openings and running heads. Confirm that running heads accurately represent the content of each chapter. Add folios (page numbers) to the table of contents, if missing.

Make sure figure captions match the list of figures and the figures themselves. Add folios (page numbers) to the list of figures, if missing.

Add missing information to all cross-references (e.g., “see page 000”).

Proof tables and check all sums.

Review each hyperlink in the pdf to confirm that URLs are correct. Mark changes if necessary. Please note that spaces may have been added faor typesetting purposes. They will be removed (and the URL will be clickable) when the book is made into an e-version. If any text or illustrations require permission, make sure the full and correct credit is present. Review permission letters as necessary.

If there were any outstanding issues from the manuscript stage, make sure they are resolved at this point.

As the volume editor, be sure:

All contributors are listed in the list of contributors correctly.

All chapter authors will return their proofs to you. Review and approve all of their changes before adding to your master set of page proofs. Return only one master set of page proofs to the project editor.

Return the project to the project editor by the due date.

NOTE: Please be aware that the page proofs and, if applicable, the PDF of the page proofs are not for external distribution.
